Challenge

 

The City of Wellston, OH faced a serious financial challenge that had been years in the making. For nearly three years, the City’s books were not fully reconciled, leaving leadership without a clear or reliable picture of its financial position.

Although VIP software had been implemented in 2021 to replace a legacy system that no longer met the City’s needs, the lack of adoption and ongoing reconciliation prevented the software from delivering its full value. Over time, discrepancies compounded, delays increased, and confidence in the financial records eroded.

In an effort to correct course, the City hired outside CPAs in both 2024 and 2025 to bring the books back into balance. While well intentioned, those efforts resulted in more unanswered questions and did not provide a sustainable, long-term solution the City could manage internally.

With staff transitions underway—including the appointment of a new treasurer in October 2025—the City needed more than a temporary fix. They needed clarity, stability, and a partner who could help them truly understand their system and restore confidence in their financial records.

Goal

 

The City’s primary goal was to fully reconcile its financial records by the end of the year and establish a sustainable process moving forward.

Beyond reconciliation, City leadership wanted to:

  • Gain a clear and accurate understanding of historical discrepancies

  • Build internal confidence in the financial system

  • Support new staff with hands-on guidance and training

  • Create a foundation for consistent, timely reconciliation in the future

The objective was to put the City on a strong, stable path forward.

Solution

 

Recognizing the need for direct, hands-on support, the City reached out to SSI and was connected with Implementation Consultant Kim B. From the very beginning, Kim took a deeply collaborative approach—working alongside City staff to understand prior issues, explain the details behind discrepancies, and guide them step by step through the reconciliation process.

Kim supported both the outgoing treasurer and the newly appointed treasurer, dedicating significant time to walking through workflows, answering questions, and helping staff gain confidence in using the system correctly. Her willingness to dig in, explain complex issues clearly, and remain accessible made a meaningful difference.
